Acceptance

By making a reservation with Bison Meadow Lodge, you confirm that you are at least 18 years of age and legally able to enter into a binding contract. You confirm that the information you provide is accurate, and you accept these terms on behalf of yourself and everyone in your party.

Reservations

• A reservation is confirmed once we accept your booking and a valid payment card is on file.
• Reservations are non-transferable and non-assignable without our written consent.
• The lead guest is responsible for the conduct of the entire party and for the condition of the property during the stay.
• Occupancy is limited to the number of guests listed on the reservation. Additional guests are not permitted without prior approval.

Rates, taxes, and fees

Displayed nightly rates are in US dollars and are subject to change until a booking is confirmed. Applicable lodging taxes and mandatory fees will be added to the total and shown before you complete the booking. Any optional add-ons (early check-in, cleaning surcharges, damage fees) are charged separately if incurred.

Payment

For direct bookings, we securely store your card on file via Stripe at the time of reservation but do not charge it. The full amount of your stay is charged automatically on the day of your check-in. If the initial charge attempt fails, we will attempt the charge again and contact you to update your payment method. Failure to provide a valid payment method may result in cancellation of your reservation without refund of any amounts owed.

Cancellations, changes, and no-shows

Refunds are governed by our cancellation policy. In summary: 100% refund 30 or more days before check-in, 50% refund 15–29 days before, no refund within 14 days. No-shows and early departures are non-refundable. Date changes are treated as a cancellation and a new booking unless we agree otherwise in writing.

Check-in and check-out

Check-in is after 4:00 PM and check-out is by 10:00 AM. Early check-in is available only with pre-approval and an additional fee, as described in our house rules. Late check-out may be arranged when availability allows and may be subject to a fee.

Guest responsibilities and damages

You agree to treat the property with care and to follow our house rules during your stay. You are responsible for any loss or damage caused by you or your party beyond reasonable wear and tear, including but not limited to broken furniture, damaged appliances, unauthorized rearrangement of furniture, or excessive cleaning requirements. We reserve the right to charge the card on file for the cost of repair or replacement, along with any specific fees called out in our house rules.

Right to refuse or terminate a stay

We reserve the right to refuse a booking or to terminate a stay in progress, without refund, if a guest or member of their party: (a) provides false or incomplete information; (b) violates the house rules or applicable law; (c) causes damage, disturbance, or a safety concern to the property, our team, or other guests; or (d) exceeds the stated occupancy. In such cases, the guest agrees to vacate the property promptly.

Force majeure

We are not liable for failure to perform any obligation under these terms if that failure is caused by events beyond our reasonable control, including natural disasters, wildfires, road or park closures, severe weather, utility outages, government actions, pandemics, or acts of third parties. In such circumstances we will work with you in good faith to reschedule your stay or issue a credit, subject to our operational constraints.

Limitation of liability

To the fullest extent permitted by law, Bison Meadow Lodge, its owners, and its staff are not liable for any indirect, incidental, or consequential damages arising out of your stay or use of the property, including loss of personal property, lost enjoyment, travel expenses, or injury not caused by our gross negligence or willful misconduct. Our total liability to you for any claim arising from your reservation will not exceed the total amount paid by you for that reservation.

Governing law

These terms are governed by the laws of the State of Montana, USA, without regard to its conflict-of-laws principles. Any dispute arising out of or relating to these terms or your stay will be brought exclusively in the state or federal courts located in Park County, Montana.

Changes to these terms

We may update these terms from time to time. The effective date at the top of this page reflects the most recent update. The terms in effect on the date your booking is confirmed are the terms that apply to that reservation.
